The goal of a shorter meeting is not to make people speak faster. It is to remove the minutes spent discovering why the meeting exists, repeating background information and leaving decisions unresolved.
Write the Outcome Before the Invitation
A topic is not an outcome. "Website redesign" is a topic; "choose one homepage direction and assign the next prototype" is an outcome. If you cannot describe what should be different when the meeting ends, an asynchronous update may be better.
Invite the Smallest Useful Group
Every additional attendee increases the collective time cost and often makes discussion slower. Invite people who provide information, make the decision or own the resulting action. Send notes to everyone else.
Put Information Before the Meeting
Status, background and data are usually easier to read than to hear. Send them in advance and reserve live time for questions, trade-offs and decisions. If attendees must silently read during the meeting, label that reading time explicitly.
Use a Visible Timer
A shared timer changes the meeting from "someone should keep us on track" to a neutral, visible constraint. Display the outcome above it and choose a warning pointβfive minutes is appropriate for many 30- or 45-minute meetings.
Make the Cost Concrete

End With Decisions and Owners
Reserve the final minutes for three questions:
If a decision was not reached, name the missing information and who will obtain it. "Continue next time" is not a useful action without a clear reason.
Default to 25 or 50 Minutes
Calendar software makes 30 and 60 minutes feel natural, but work expands to fill the available block. A 25-minute meeting leaves transition time before the next half hour; a 50-minute meeting leaves time before the next hour.
